Using Smart Prompts

See how Smart Prompts can guide you through creating an ideal prompt for common tasks

Smart Prompts present a new way of interacting with GovAI, allowing you to build your prompt in several steps resulting in better response more suited to your needs. There are several reasons we created Smart Prompts that we wanted to highlight to better illustrate the capabilities involved in this feature:

  1. AI assistant responses typically improve the longer and the more detailed your prompt is

  2. Many beginner users of AI assistants aren't aware of the capabilities of a system like GovAI

  3. Experienced users sometimes miss adding extra detail in their prompts resulting in multiple iterations of their prompts to achieve the desired output

  4. There are common 'jobs' that many users task GovAI with that could benefit from a prompt shortcut

Smart Prompts is meant to help solve all of these challenges through a combination of structured prompt inputs as well as additional instructions automatically added by GovAI.

To access Smart Prompts simply click on the desired Smart Prompt from the list shown on the main page of GovAI.


Document Comparison

This Smart Prompts allows you to easily compare two or more documents against any set of criteria you have in mind.

To get started you enter the instructions for GovAI under Basis of Comparison and then upload the files you wish to compare. Files can be uploaded by clicking on the "Add files" button or by simply dragging and dropping documents into the screen.

Once you enter your basis of comparison, you will see it being added to the Prompt Preview section and you can proceed by clicking on the "Submit Document Comparison Prompt" button.

Use Cases Examples

Use this Smart Prompt to compare last year’s and this year’s grant guidelines to spot changes in eligibility, scoring, and deadlines, or review old and new emergency plan annexes to check roles, activation triggers, and how agencies coordinate.


Draft Communications

This Smart Prompt helps in creating all types of communications typically needed in the public sector. This includes drafting emails, memos, media releases, etc. The inputs of the Smart Prompt ensure that all of elements in a typical communications draft is covered, including tone, audience, and point of view.

Note that there are two ways of providing GovAI with guidance on what you expect the output to be like, or to provide reference material to be used in drafting the communication. You can do this by either using the Source material text box or by attaching a file. If you wish GovAI to use an existing piece of communications as a guide, upload the sample file by dragging the file anywhere on the screen, and in the Source Material text box instruct GovAI to "use the attached document as a guide for the generated communication"

Use Cases Examples

Use this Smart Prompt for both urgent notices and routine updates: set your audience (residents, stakeholders, partners), choose a clear tone (reassuring or concise), attach relevant policies or guidance, and request either a plain‑language release for service disruptions/emergencies or a short email for program/reporting changes.


Grammar Assistant

This Smart Prompt enhances your text by correcting grammar and adjusting style. Simply enter your text and type or choose the desired tone from the dropdown menu. You can also attach a file with the text you want to improve. Additionally, specify the purpose of the text and the target word count for more tailored results.

Use Cases Examples

Use this Smart Prompt to quickly improve public notices and briefings: paste your text, set goals (plain language, Canadian spelling, consistent capitalization, shorter sentences), and get a clean revision with suggested edits—so you can publish clear notices that keep key facts and polished briefing notes with a clear, action‑oriented structure.


Web Research

This Smart Prompt gives combines the power of a regular search engine with the summarizing capabilities of GovAI. Choose a topic, enter any background information and let GovAI do the rest.

Note that Background Context and Key Terms are Optional fields, however entering additional context can result in a better outcome.

If you wish to see the sources or websites that the GovAI response was based on look towards the bottom of the thread under the Sourced heading, where you'll be able to cycle through the sources using the arrows on the right of the block as shown below.

Use Cases Examples

Use this Smart Prompt to scan funding opportunities or policy approaches, for example. Set a topic (e.g., programs supporting your infrastructure initiative, or recent municipal rules for a service like short‑term rentals), add background (scale, sites, target dates), and list key terms (eligibility, match funding, timelines; licensing, enforcement, privacy). Request a sourced summary to get eligibility and deadlines, comparison points and decision options, plus links you can click through.
