Overview
The Retention feature in GovAI allows organizations to control how long threads in GovAI are stored. With this setting enabled, the system will automatically delete inactive threads after a set period, helping your team stay compliant with data retention policies.
Why Use Retention Controls?
Public sector organizations have to typically adhere to retention timelines for certain records. In the case where AI threads are considered records in the organization's jurisdiction, Retention Controls allows Administrators to easily comply with their local requirements.
How to Configure Retention Settings
Only users with Admin privileges can update retention settings.
Steps to Set Up Thread Retention
Access Retention Settings:
Go to the Admin menu in the top navigation bar.
Select Retention.
Enable Thread Retention Limits:
Toggle the switch to enable retention limits. When enabled, GovAI will retain threads for the duration you specify.
Set Retention Duration:
Enter the number of days you want threads to be kept (e.g., 30 days).
After the set period of inactivity, threads will automatically be deleted.
Exclude Pinned Threads:
To prevent deletion of pinned threads, select the “Do not delete pinned threads” checkbox.
Pinned threads will remain even after the retention period ends.
Save Your Settings:
Click Save to apply the retention policy for all GovAI Labs users in your organization.
Who Does This Affect?
All users at your organization using GovAI will have threads managed according to these rules. Admins are responsible for configuring and updating the settings as needed.
