GovAI provides a flexible and secure environment by assigning user roles that determine access and permissions. To ensure smooth collaboration and maintain data integrity, GovAI offers different levels of access tailored to various needs. These roles are categorized into three main groups: Organization-Level Roles, Assistant Roles, and Folio Roles. Below is an overview of each category and the available roles within them.
Organization-Level Roles
Organization-Wide Roles apply across the entire GovAI platform and affect high-level administrative and content management functions. These roles include:
Administrator – Grants full access to GovAI, including configurations, integrations, dashboards, and all other aspects of the platform
Observer – Grants view-only access to GovAI's main dashboard
Content Manager – Grants access for the creation, viewing, and editing all of the organization's Assistants and Folios.
Content Creator – Grants access for the creation of Assistants and Folios.
Users with these roles have varying levels of authority to manage user accounts, oversee content, and monitor platform activity. The roles are typically limited to application administrators, and IT staff.

Assistant User Roles
Assistant Roles are specific to individual assistants created within GovAI. These roles define who can interact with, modify, and manage assistant content. The two available roles in this category are:
Editor – Grants the ability to modify Assistant instructions, associate Folios with an assistant, and control access access to the assistant
Viewer – Grants the user access to the Assistant from GovAI's main screen. Viewers can also see the Assistant's instructions, and view who has access to the assistant.
Note: Granting a user access to an Assistant as a 'viewer' grants them the ability to query documents and data contained within any Folio(s) associated with the Assistant.
Folio User Roles
Folio Roles determine access to specific folios and their associated content. The roles available in this category include:
Editor – Grants the ability to configure the Folio, including adding and removing content, and granting access to other users.
Viewer – Grants the user the ability to attach documents within a Folio to any GovAI thread (Allowing a Folio to act like a repository of documents).
Folio Editors can modify, update, and manage folio content, while Viewers can only view and analyze the information.
Note: A user does not need to be added as a Viewer on a Folio in order to use an Assistant that has access to the Folio.
